Proof of Delivery: How to Do It Right Every Time

A delivery without proper proof of delivery (POD) is a liability waiting to happen. "I never got it" — three words that cost drivers and companies real money when there's no documentation to back up the drop. Here's how to make your POD bulletproof on every stop.

What Counts as Valid Proof of Delivery

There are three main POD methods you'll use in final mile delivery: photo confirmation, electronic signature, and barcode/QR scan. Many stops require more than one.

Photo confirmation is now standard on the vast majority of stops. The photo should clearly show the package at the delivery location, with enough context — house number, door color, distinctive feature — that anyone reviewing it can confirm where it was left. A blurry photo or a photo of the package in your van does not count.

Electronic signature is required for some packages (high value, age-restricted, signature-required). Get the customer to sign on your device before you leave — not after, not while you're walking back to the van.

Barcode scan at the door (not in the van before you leave) confirms the correct package went to the correct address. If your app requires door-step scanning, do it there — pre-scanning in the van and then delivering creates discrepancies.

How to Take a POD Photo That Actually Works

Plant the package squarely. Step back so the frame includes: the package, the door or porch, and a clear address marker if possible. If it's a side gate or garage entry, capture the whole entry point so the location is obvious.

In winter, make sure snow or weather isn't obscuring the address numbers or making the scene ambiguous. If visibility is poor, take two photos from slightly different angles.

What to Do When POD Fails

Scanner won't read the barcode? Try cleaning the barcode with your sleeve and scanning again. If it still won't read, manually enter the tracking number if your app allows it, and note the scan failure in the delivery notes.

Customer refuses to sign? Note refusal in the app, photograph the package in place, and continue. Don't skip the stop — document what happened and flag it at end of day.

Why This Matters for You Personally

A well-documented delivery is your protection against "I never received it" claims. If your POD photo is clear and timestamped, the claim is resolved quickly and doesn't come back on you. Drivers with consistent POD quality have fewer disputes, fewer investigation hold-ups, and in some companies, better performance scores.

JWA Logistics takes POD accuracy seriously — and our drivers who nail this consistently are the ones who earn trust and better routes. Take the extra five seconds at each door. It's worth it every time.
